IT hurts if project delivery expectations are not met for 100%

The worst PM experience was working for a Fortune 500 client with an outsourced a development agency. Agency told me they will make design light and responsive, similar to Apple feel and look. The day came an guess what – it is green and red design. Like an apple, not Apple. Talking about bad luck…

I almost got fired. And managers did not care that it was not me. I had no written documents that I made references to the Apple website, that we had two briefing meetings where we discussed the color palettes. It was stupid, ridiculous, even laughable experience.

One of the most frustrating experience I have is constantly coming back to clients and explaining why their wishes are out of scope. I know for my sales colleagues to sell a fixed price project is easier. But it hurts a lot to manage budget, expectations and keeping healthy relationships afterwards.

People made the deal

Vytenis Pakėnas, Founder of DoneDeal Today

DoneDeal is a no-brainer on lengthy meetings with clients or suppliers. Having development agency myself I was in your shoes. In meetings I either had a lengthy process trying to note everything important during the meeting or had to have an assistant joining and taking notes to me. I experienced losses both from delivering services and receiving result that is not meeting my expectations. Even all details were verbally discussed and I thought we are on the same page.

I needed solution to save me from my laziness. I was lazy to note all the discussion and assumed what is important to note while everything was important for the end result. Also some of “minor” stuff for me was ignored and excluded from scoping meaning programmers had no clue they need to address it. This burned me a pile of money.

Solution is simple – I click on the app, I record when I am wrapping up something with a client / provider – I get it into the doc included for later usage. As this app is used my Project Managers, we built in a Machine Learning solution which helps to identify potentially not discussed details.

Simply it recommends:

  • how to rephrase details;
  • what extra topics needs to be discussed / included.

This accumulated knowledge helps to have more in-depth agreements and to be sure that agreement is in favor of all parties. No lesser side left.

The way how we do it:

  1. Discuss the verbal agreement details. You do the negotiation, knowledge sharing and related parts. The things you do normally to have an agreement.

  2. When you have found the consensus in the app select topic for which it (consensus or simply put agreement) was found.

  3. When you click the app, we start listening to what you tell. Speak loud and clear like you would be wrapping up the agreement.

  4. App is recording what you tell and on a real time sends portions of text to our transcription service. This way the text is made from voice.

  5. When we have a phrase we run it through our Machine Learning based engine. It finds the most suitable phrasing which can be used for a document. The way we speak differs from the way write.

  6. Based on the terms you are using in the document (you spoke or you picked from our offers) we make recommendations what can be included into the contract as well.

  7. When you are done with the document, you can re-run it with your partner/client on your phone or generate it immediately.

  8. Generated document is sent to you for your use. We generate an editable .docx document which can be edited by all modern documents programs.

  9. It is up to you to make a decision, how you sign the contract – e-signature, a print copy or you sign with blood. As long as you got the contract terms and saved your time/understood to whom you sell your sole we are fine with it. Just don’t be evil.
